SENlight — Nurture. Understand. Empower.

Recruitment Privacy Notice

SENlight Limited · Effective 21 October 2026

We value the privacy of applicants to SENlight Limited. This notice explains how we collect, use, store and delete personal information when you register your interest in our SEND Nurture Tutor opportunity.

Who is responsible for your data?

SENlight Limited (company number 16622914) is the organisation responsible for the personal information submitted through this recruitment form. The main contact for recruitment and data protection enquiries is Stephen Jones, Director, at [email protected] or 07805 054143.

What information do we collect?

At the expression-of-interest stage, we collect your name, email address, phone number, general location, professional background, qualifications summary, relevant experience, subject and key-stage strengths, SEND experience, travel preferences, availability, answers to two work-related questions, and any CV you choose to upload. We record when you submitted and the acknowledgements you gave.

We do not ask for identity documents, date of birth, criminal-record details, health information, bank details, full home addresses or DBS certificates through this initial form. Please do not include sensitive personal information in free-text answers.

Why do we use it?

We use the information, including any uploaded CV, to assess suitability for potential nurture tutor work, shortlist and contact applicants, arrange conversations or interviews, and manage recruitment fairly and safely. We may also need to maintain proportionate records of our recruitment decisions. Shortlisting is reviewed by a person rather than conducted by solely automated decision-making.

Our lawful bases

Depending on the processing activity, we rely on steps taken at your request before potentially entering an employment agreement (UK GDPR Article 6(1)(b)), legitimate interests in selecting suitable staff and administering a safe recruitment process (Article 6(1)(f)), and compliance with legal obligations where applicable at later recruitment stages (Article 6(1)(c)). A separate lawful basis and any required additional safeguards would be assessed before processing special category or criminal-offence information.

Ticking the privacy acknowledgement on the form confirms you have seen this notice. It is not the legal basis for our routine application processing.

Who sees your information?

Recruitment data is accessible only to authorised SENlight personnel involved in selection, initially the Director. We use Cloudflare to host the website and provide infrastructure for storing online applications. Relevant contracted service providers may process data on our behalf under appropriate contractual arrangements. This may include Cloudflare for website hosting and form handling, and our configured email delivery provider where CV attachments are sent securely to the SENlight recruitment inbox. We do not sell applicant data.

Where and how is it stored?

Applications submitted through the configured form may be stored in a private Cloudflare D1 database associated with SENlight's website, and uploaded CVs may also be transmitted to the SENlight recruitment inbox through the configured email delivery service. Access is restricted to authorised administrators. Form traffic is protected in transit using HTTPS. We use Cloudflare Turnstile to reduce automated submissions. Cloudflare may process information outside the UK; we will review the applicable transfer terms, data-processing arrangements and any other safeguards before opening live submissions.

How long do we keep it?

If you are unsuccessful or we do not progress your expression of interest, SENlight's intended standard retention period is six months following the recruitment decision, after which your information will be securely deleted unless a longer period is legally justified. We will review information held during a prolonged expression-of-interest period rather than retain it indefinitely. For successful applicants, relevant records become part of the employee record and are covered by the separate staff retention arrangements. Information gathered for vetting later in the recruitment process may have shorter retention periods.

Safer recruitment checks

If shortlisted, we may ask separately for identity, right-to-work and qualification evidence, references and appropriate DBS or other checks, depending on legal eligibility and the actual duties. Before doing so, we will explain what is required, why, who can access it, and how long it will be held. No applicant is appointed or deployed before appropriate checks are completed.

Your rights

You may have rights to access your information, correct inaccuracies, request erasure, restrict or object to some processing, and raise concerns about how it is used. Rights depend on the legal circumstances. Contact [email protected] to make a request. You can also complain to the Information Commissioner's Office.

Changes

We will update this notice if recruitment systems, service providers or data-handling arrangements materially change. The applicable version will be made available when applications are collected.

Before online applications open: SENlight must confirm its Cloudflare account controls, data-processing terms, database access, applicant retention/deletion procedures and website deployment configuration. This notice describes the intended setup and should be reviewed when the infrastructure is connected.
